Privacy Policy

SevaVani ("we," "us," or "our") is a volunteer coordination platform for ISKCON temples and spiritual communities, operated by Adithya Nair at sevavani.com. This policy explains how we collect, use, and protect your personal information.

1. What We Collect

We collect information you provide directly — your name, email address, and notification preferences (email or SMS). If you opt into SMS notifications, we also collect your phone number. Volunteer activity such as seva assignments, availability, and cancellation requests is stored as part of providing the service. We use a single authentication cookie (sevavani_session) that contains your encrypted session identity; it expires after 7 days.

Phone numbers are stored only as one-way SHA-256 hashes — the original number is never retained after hashing. Login tokens are also hashed; plaintext tokens exist only in the delivery channel (email or SMS) and are never persisted.

2. How We Use Your Data

We use your data solely to provide the volunteer coordination service: creating and managing your account, sending login links and one-time codes, assigning you to seva slots, delivering email and SMS reminders, and letting administrators manage their temple's service roster. We also maintain audit logs for organizational security and accountability.

We do not use your data for advertising, profiling, or any purpose unrelated to coordinating volunteer service.

3. Third-Party Services

We use trusted third-party services for hosting, database storage, email delivery, and SMS delivery. These processors handle your data only to provide the service and are bound by appropriate data protection terms. We do not sell your personal information or share it with third parties for marketing purposes.

We may disclose personal data when required by law or court order, or to protect the rights and safety of SevaVani or its users.

4. Religious Affiliation

Because SevaVani serves ISKCON temples, your membership and volunteer records may implicitly reflect religious affiliation. This data is used solely to coordinate your service within your temple and is never shared outside your organization or used for any other purpose.

5. Data Retention

Your data is retained for as long as your account is active. Deactivated accounts are permanently deleted within 5 days by an automated nightly process. Login tokens expire within minutes and are purged nightly. When an organization account is deleted, all associated volunteer and schedule data is permanently deleted via a cascade process.

6. Your Rights

You may delete your SevaVani account at any time through your account settings ("Delete My Account"). You will receive a confirmation email with a secure link (valid 24 hours); clicking it permanently deletes your account and all associated records.

For all other rights requests — including access, correction, or portability of your data — contact contact@sevavani.com. We respond within 30 days.

California residents have rights under the CCPA, including the right to know what data is collected and the right to request deletion. We do not discriminate against users who exercise these rights.

7. Security

We implement appropriate technical safeguards: AES-256 encrypted session cookies, hashed authentication tokens, HTTPS enforced with HSTS, HTTP-only and Secure cookie flags, Content Security Policy headers, parameterized database queries, rate limiting on authentication endpoints, and organization-level data isolation. No security measure is 100% impenetrable. If you suspect a security issue, contact contact@sevavani.com.

8. Cookies

SevaVani uses one cookie: sevavani_session. This is strictly necessary for authentication — it stores your encrypted session identity so you remain logged in. It is HTTP-only, transmitted only over HTTPS, and expires after 7 days. We do not use advertising, analytics, or third-party tracking cookies.

9. Children's Privacy

SevaVani is not directed at individuals under 18. We do not knowingly collect data from minors. If we learn we have received data from a minor, we will delete it promptly. Contact us at contact@sevavani.com if you believe this has occurred.

10. Governing Law

This policy is governed by the laws of the State of California, USA. SevaVani is operated from California, USA and is intended for US-based temples and spiritual communities. If you are located outside the United States, your data will be processed in the United States under US law.

11. Changes to This Policy

We may update this policy from time to time. When we do, we will update the "Last Updated" date above. For material changes, we will notify active users and administrators via email where practical.
